We are currently seeking an Accounts Payable Clerk to join our vibrant team. As an Accounts Payable Clerk, you ensure accurate and efficient management of supplier invoices, timely processing of payments, and maintenance of reliable financial records, while supporting strong vendor relationships and contributing to effective cash flow management for both Rental Pool and Body Corporate Entities.

TASKS, DUTIES AND RESPONSIBILITIES

DUTIES:

Invoice Verification and Processing

• Receive, review, and verify supplier invoices from the Purchasing Department (MC) for goods and services rendered.

• Match invoices with purchase orders, delivery notes, and contracts.

• Request and receive all SLA invoices from suppliers.

• Obtain necessary approvals from Department Heads before processing invoices.

• Capture all non-stock invoices, including those for food & beverage, housekeeping supplies, and maintenance.

• Investigate any invoice discrepancies thoroughly to resolve issues.

• Ensure invoices are accurately coded to appropriate cost centers and expense lines.

• Follow up with suppliers for missing invoices and address any discrepancies in accounts.

• Stamp all invoices “PAID” as soon as it is reconciled and paid.

• Maintain a neat and tidy invoicing system ensuring that all invoices that are paid are kept separate from the unpaid invoices.

Timely Payment Execution

• Request statements from suppliers for all accounts to process payments.

• Prepare reconciliation statements for all accounts to be paid on a weekly basis/ as required for payment runs.

• Ensure timely payments are made to avoid service disruptions and to maintain positive vendor relationships.

• Track payment schedules according to agreed credit terms.

• Send remittances to suppliers once payments have been completed.

• Process accurate payment batches once payments are processed through the bank.

• Save the Proof of Payment (POP) in the Creditors folder and send POP to suppliers.

• Professionally handle vendor inquiries regarding financial matters in a timely manner.

• Maintain organized files for all invoices, payment records, and supporting documents.

MONTH END:

• Ensuring invoices for the month is captured before month-end closing

• Preparing Accrual journal for any invoices that have not been received which requires to be expensed.

• To report and provide comments on Accounts Payable Analysis for any overdue amounts over 60 days.

• Provide TL / AFC with balance sheet back-up for all accounts related.
