Job Description

We are currently seeking a People Operations Shared Services Specialist to join our vibrant People Operations team. The People Operations Shared Services Specialist is involved in various aspects of the People Operations administration and coordination. You will work with the People Operations Managers to deliver People & Culture administrative and operational services to the employees and managers from both hotels and offices. 

The role can be based in any of our offices in the following locations: Madrid, Oslo, Stockholm, Copenhagen, or Reykjavik.

Key tasks & responsibilities:

  • Providing first-level support and guidance to people managers on People Operations policies, procedures, and programs. People Ops enquiries are responded via a ticket system in priority order; complex or sensitive issues should be escalated to the Manager, Shared Services or the relevant Country Business Partner (as appropriate). 
  • Provide administration support pre selection and post appointment across the employee life cycle; for e.g. but not limited to posting and closing of job positions in the ATS portal and Workday, initiating and reviewing the job changes in Workday, support with producing the compensation and contract offer letters in accordance with the authorisation-to-recruit process, as well as securing country specific legal requirements, gathering and analysing feedback on the recruitment process and other People Ops transactions using Workday, ATS or any other tool used in P&C at RHG. 
  • Work with People Managers to ensure a smooth and positive onboarding experience for new hires, this includes preparing and sending onboarding documents, checking relevant forms to ensure compliance and benefit setup, setting up the Workday onboarding pathway and login details, sending announcements, and gathering feedback on the onboarding process.
  •  Facilitate the performance management process by cascading the objectives and targets to the people managers, initiating the performance objective setting in Workday, and generating reports and dashboards on the performance outcomes. 
  • Maintaining employee records and files in compliance with legal and organizational requirements, including Data Protection Legislation relating to the privacy, confidentiality, security, and protection of Personal Data. 
  • Assist colleagues to perform similar or related jobs when necessary.
  • Any other People Operations task that is assigned by the Manager, Shared Services and/or Country People Ops Business Partner related to benefits administration, leave management, and other People Ops related topic.  

Qualifications

  • Experience from hotel or other service industry is desirable in addition to formal education on or proven working experience in employment law as well as HR administration.
  • Proficiency in Workday or similar HRIS applications and Microsoft Office applications.
  • Knowledge of HR best practices, policies, and regulations in one or more Scandinavian countries. 
  • Service-oriented, excellent communication, and problem-solving skills. 
  • Attention to detail, accuracy, and confidentiality. 
  • Flexible, and able to multitask and cope with a fast-paced service environment without jeopardising the quality of the candidate and people manager experience.
  • Ability to work independently and as part of a team with minimal supervision. 
  • Must be fluent in English and any two of the following languages: Swedish / Norwegian / Danish / Icelandic
